Overview
A large growing organization is seeking a Payroll & Benefits Specialist to support weekly payroll processing for union and non-union employees. This role focuses on accurate data entry, validating time sheets, processing PTO and benefits, and ensuring payroll matches contracts and collective bargaining agreements. Prior payroll experience is not required —we will train the right detail-oriented individual.
Key Responsibilities
Payroll Processing
Collect and validate weekly time sheets for all employees.
Enter hours, pay rates, overtime, shift differentials, and adjustments.
Ensure payroll matches employee contracts and union wage scales.
Track overtime and alert management if OT occurs; ensure no unauthorized OT is processed.
Make sure time sheets and payouts stay within approved budget.
Taxes, Deductions & Withholdings
Enter and update employee tax withholdings.
Process garnishments, child support, and other required deductions.
Assist with payroll tax entries and reconciliations (training provided).
PTO & Leave Administration
Track PTO accruals, balances, and usage.
Process PTO payouts for terminations or transfers per policy or CBA.
Maintain accurate leave records and updates.
Benefits Support
Process benefit deductions for medical, dental, retirement, FSA/HSA.
Coordinate changes with benefits vendors (training provided).
Assist with COBRA/continuation notices and updates.
Union & Contract Compliance
Apply wage scales, step increases, and dues checkoffs per collective bargaining agreements.
Process retro pay when required.
Ensure all payroll activity is compliant with labor laws and union rules.
Reporting & Reconciliations
Run basic payroll reports for HR and Finance.
Assist with payroll reconciliations and resolving discrepancies.
Support year-end tasks including W-2 and 1099 accuracy.
Systems & Administrative Support
Enter updates into HRIS/timekeeping systems.
Maintain accurate employee payroll files.
Support internal audits and documentation reviews.
Qualifications
No prior payroll experience required — full training provided .
Strong attention to detail and comfort working with numbers.
Ability to handle confidential information.
Basic Excel or Google Sheets skills.
Organized, reliable, and able to meet weekly timelines.
Experience in office administration, HR, bookkeeping, AP/AR, or benefits is a plus (not required).
